Partner Privacy Notice

This notice explains how AI Diagnostic Systems Ltd processes personal data in connection with repair partners and the helpmypc.ai Partner Portal.

AI Diagnostic Systems Ltd is the operator of helpmypc.ai and the data controller for the partner information described in this notice.

1. Information we process

Depending on how you participate, we may process:

  • Partner representative names, email addresses and telephone numbers
  • Business names, addresses, contact details and account status
  • Service-area, postcode, map location and service-radius information
  • Portal login, account activity, security and audit information
  • Job offers, expressions of interest, assignments, declines and completion information
  • Repair outcomes, completion notes, reviews, ratings and review disputes
  • Correspondence and support requests

Information about a company is not always personal data. This notice applies where business information identifies or relates to an individual, including a partner representative or sole trader.

2. Why we use it

We use relevant information to:

  • Review and administer partner participation
  • Operate and secure Partner Portal accounts
  • Match, offer and assign repair work using the current workflow
  • Communicate about repair opportunities and assigned jobs
  • Provide customer and partner support
  • Record repair outcomes, reviews and disputes
  • Maintain security, audit and legal records

3. Customer information in the repair workflow

A partner may receive customer information only through the current accepted and assigned job workflow where the required customer repair-contact consent is recorded. Use that information only for the relevant repair job and do not use it for unrelated marketing or other services without separate permission.

Approved repair partners operate as separate businesses. This notice does not state that a partner is a processor for AI Diagnostic Systems Ltd. Partners remain responsible for their own handling of customer information and applicable legal duties.

4. Lawful bases

Depending on the activity, we process partner personal data to administer the partner relationship and requested services, for legitimate interests in operating and securing the platform, with consent where required, or to meet legal obligations.

5. Sharing and service providers

Where relevant to the partner experience, information may be handled by:

  • IONOS for website hosting and infrastructure
  • Supabase for authentication, account management, database storage and operational records
  • Resend for service, support and repair-related email delivery
  • Postcodes.io for repair-area and partner service-area coordinate lookup
  • OpenStreetMap's tile service when a service-area map is viewed

We may also disclose information where required by law or where reasonably necessary to protect the platform, customers, partners or legal rights.

6. International transfers

Some service providers may process personal information outside the United Kingdom. Where an international transfer requires a safeguard, we use an appropriate mechanism, which may include UK adequacy regulations or approved contractual safeguards such as the EU Standard Contractual Clauses with the UK Addendum.

7. Retention and security

We keep partner information only for as long as needed to operate the relationship, support repair records, resolve disputes, maintain security and audit trails, and meet legal, tax or accounting requirements. We use reasonable technical and organisational measures to protect personal data.
